Who we are
FLIGHT is a trading name of Flight Hospitality Technologies Ltd. Registered in England and Wales, company number 17480508. Registered office: 66 Paul Street, London EC2A 4NA. We are the controller of the personal data described here. Contact us about privacy at privacy@flighthospitality.com.
This notice covers this website only. When a business uses Flight, the data inside the product is covered by that customer’s agreement with us.
What we collect
- Enquiries. When you use the “See Flight in action” form, we collect your name, work email, company or group, number of venues, the areas you pick and what you tell us about your operation.
- Ask Colin. Colin is an automated assistant. What you type is used to write his replies. If you ask Colin to pass your details to the team, he confirms them with you first, then sends them to us with a short summary and the messages you wrote in the chat.
- Technical data. Like any website, our hosting receives your IP address, browser details and the pages you request. We use it to run and protect the site, including a check that tells people from automated bots, and limits on how often forms and chat can be used from one connection. We also count visits without cookies, to see which pages people read and how they found us. Those figures are anonymous and can’t identify you.
Please don’t share sensitive information, such as health details, in the form or the chat.
Why we use it, and our lawful basis
- To reply to your enquiry and follow it up. Our basis is our legitimate interest in answering businesses that contact us.
- To answer your questions in Ask Colin. Our basis is our legitimate interest in helping visitors understand Flight.
- To keep the site secure and working, and to stop spam and abuse. Our basis is our legitimate interest in protecting the site and the people who use it.
- To count visits and see which pages are read, so we can improve the site. Our basis is our legitimate interest in understanding how the site is used.
We don’t sell your data, we don’t use it for advertising, and we don’t make decisions about you by automated means that have legal or similarly significant effects. We won’t add you to marketing emails from an enquiry. If we ever want to, we’ll ask first.
Who we share it with
We use a small number of service providers who act on our instructions:
- a website hosting and security provider, which runs the site, the bot check and the anonymous visit counts;
- an email delivery provider, which sends your enquiry to our team;
- an AI model provider, which generates Colin’s replies from your messages. It does not use them to train its models.
We may also share information if the law requires it, or with professional advisers under a duty of confidentiality.
International transfers
Some of these providers process data outside the UK, including in the United States. Where they do, we rely on UK adequacy regulations or safeguards the UK recognises, such as the International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.
How long we keep it
- Enquiries: up to 24 months after our last contact with you, unless you become a customer, in which case our customer agreement applies.
- Colin chats: we don’t keep a record of your conversation on our website. It ends when you close the tab. Our AI model provider may keep messages for a limited period for safety and abuse monitoring before deleting them. Chat messages sent with an enquiry are kept as part of that enquiry.
- Technical data: usage limits reset within 24 hours. Hosting and security logs are kept for short periods set by our provider.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict how we use it, or to transfer it. You can also object to our using it. Email privacy@flighthospitality.com and we’ll reply within one month.
If you’re unhappy with how we’ve handled your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk or 0303 123 1113.
